Information we collect

When you contact us or arrange a Business Review, we collect your name, business name, role, contact details, appointment details and correspondence. If you instruct us, we also use the information needed for the agreed service, such as bills, contracts, property or supply details, authority documents, relevant identity checks, payment and invoice records, and correspondence about the matter.

We obtain information from you and your authorised business contacts. For an instructed matter, we may also obtain relevant information from public property or company records and from councils, Assessors, suppliers, brokers, wholesalers or advisers involved in the matter. These records may include names, contact details, account references and information about the charges or outcome.

Our website provider may record technical access and security information, such as your IP address, requested pages and the time of access.

How and why we use information

We use information to answer enquiries, arrange Business Reviews, agree the scope and fees, deliver instructed assessment and recovery services, communicate with you and relevant organisations, administer payments and refunds, handle complaints and protect our business and records.

Our lawful bases depend on the purpose and your relationship with us:

  • Contract: where you contract with us personally, including as a sole trader, we use information as necessary to take steps you request before entering the contract and to perform it.
  • Legitimate interests: we use business contacts’ information to respond to enquiries, organise reviews, provide services to the business they represent and keep appropriate records. We also have legitimate interests in protecting our website, preventing fraud and handling or defending legal claims. We consider your interests and reasonable expectations and limit the information used to what is necessary.
  • Legal obligations: we use information where necessary to comply with applicable accounting, tax and other legal requirements.

We ask for information relevant to the enquiry or agreed service. Without the necessary contact details, documents or authority, we may be unable to reply or carry out the requested work. If a matter requires a different use of personal information, we explain it before that processing takes place.

Your right to object

You can object to processing based on legitimate interests, for reasons relating to your circumstances. Contact us using the details above. We will consider your request and explain whether we must stop or have lawful grounds to continue.

Who receives information

Access is limited to authorised personnel and service providers who need it for their role. Provider categories include website hosting, email, secure document storage, business administration and accounting services. Banks and professional advisers may receive relevant information for payments, accounts, advice or a dispute.

For instructed work, we share relevant information with the council, Assessor, supplier, broker, wholesaler or other organisation involved, within the agreed authority or as otherwise required by law. We do not sell personal information or make solely automated decisions about your claim.

Security and international transfers

We use access restrictions and appropriate technical and organisational measures to protect information against unauthorised access, loss or misuse. We limit collection and sharing to what is needed for the purpose.

Where personal information is transferred outside the UK, we require a lawful transfer mechanism, such as UK adequacy regulations or appropriate contractual safeguards. You can contact us for details of the safeguards relevant to your information and how to obtain a copy.

How long we keep information

We retain information for as long as needed for the enquiry, agreed service and related administration. When deciding whether to keep it, we consider the status of the matter, payment and accounting obligations, relevant legal time limits, and any complaint or dispute. We review records when those purposes end and delete or anonymise information that is no longer needed. Technical logs are retained according to their security and operational purpose.

Your rights and complaints

Depending on the circumstances, you can request access to your personal information, correction, erasure, restriction or portability. These rights are subject to the conditions in data-protection law. Contact us using the details above and we will explain how they apply.

You can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or telephone 0303 123 1113. You can contact the ICO without first complaining to us.
